Invoices, expenses and bank, booked for you

Your SL (sociedad limitada, the Spanish private limited company) issues every invoice with its series, unbroken numbering and Verifactu record with a QR code, plus the signed Facturae file when the client is a Spanish public body. From kontora Empresa Pro, recurring invoices are created for you as drafts.

Expenses come in through the inbox, which reads them and keeps them as drafts until you approve them (step by step further down). Bank movements come in with the norma 43 file (the standard statement format Spanish banks export) or a CSV and are matched to your invoices and expenses. Every operation produces its double-entry journal entry.

Bookkeeping and year-end close

Entries follow the Plan General de Contabilidad (PGC, the Spanish general accounting plan), and the journal, the general ledger and the trial balance come from the same records as your tax returns. Anything that does not come from an invoice or the bank goes in as a manual entry, and periods you have reviewed can be locked so nothing changes afterwards.

Fixed asset records are created when you confirm an investment expense and carry their depreciation schedule. At year end you record the stock count and kontora prepares the stock adjustment, the corporate tax entry, the closing entry and the opening of the next year.

Corporate tax and every other return

From the year's books, kontora prepares modelo 200, the annual return for the Impuesto sobre Sociedades (Spanish corporate tax), box by box: off-book adjustments, tax losses carried forward and the rate that applies (general, newly created company or the reduced scale for micro companies), with an eligibility check you confirm. It also prepares the modelo 202 instalments.

Every quarter, modelo 303 for VAT (IVA in Spain) and, if you pay professionals or rent, modelos 111 and 115; then the annual 390, 190, 180, 347 and 349. If you pay interest to a shareholder or distribute dividends, the 123 and 193, and if you deal with related parties, a draft of the 232.

Annual accounts and company books

Once the year is closed, kontora prepares the cuentas anuales (annual accounts) in the PYMES format, the simplified layout for small companies: balance sheet and profit and loss account compared with the previous year, and the notes with every section that comes from your books already filled in. You record the shareholders' meeting (junta), how the result is applied and the minutes, then download the filing package.

The register of shareholders, the minutes book and, for a single-member SL, the register of contracts with the sole shareholder live in the same app, and you prepare the books for legalisation. Filing the accounts and legalising the books at the Registro Mercantil (Spanish companies registry) is done by you or your gestoría: kontora prepares the files and walks you through the steps.

Several companies in one account, with your gestoría inside

If you own more than one company, or an SL plus your own activity as autónomo (self-employed), you run them all from one account with a single charge: each company keeps its own books, returns and plan, never mixed. You switch between them from the company list.

Invite your gestoría (Spanish tax and admin agency) with the gestor role, without taking up a user seat, and revoke access whenever you want. Screens and explanations are in English; the official books and forms are generated in Spanish. The full export downloads all the company's data in one click, even after you cancel.

Expense inbox

Snap the invoice and kontora gets the expense ready

The inbox reads your supplier invoices and receipts for you: you check what it read, fill in anything missing and approve it.

  1. Take a photo or upload the PDF

On your phone, the camera button opens the rear camera; on a computer, you drop in the PDF. It accepts PDF, JPG and PNG files up to 15 MB.

  2. kontora reads the details

The supplier and its NIF (the Spanish tax ID), the invoice number and date, the taxable base at each VAT (IVA) rate, the total and any IRPF withholding. From that it proposes the expense draft, with its supplier and its account. It is designed to leave blank whatever it cannot read clearly rather than guess it, and you check every detail before approving.

  3. You approve it and it is booked

If the draft is right, you press Approve and post: the expense is booked and the invoice is filed as its supporting document. If something does not add up, such as a total that does not match or a supplier you have not added yet, it tells you first; for a new supplier it prepares the record with the NIF and name it read.

  • Nothing is booked without your approval.
  • Upload the same invoice twice and kontora marks it as a duplicate.
  • Documents included each month: 100 on kontora Empresa, 400 on kontora Empresa Pro and 1,000 on kontora Empresa Comercio. If you run short one month you can add a pack of reads, and going over never blocks new documents: they are stored unread and you get a notice.

Filing

Your returns, prepared box by box, and the file in the AEAT's record layout

kontora prepares your returns and you file them from kontora with your digital certificate: the 303, 130, 111, 115 and 123 by direct filing, and the 349, 347, 190, 180 and 193 through the TGVI channel of the AEAT (Spanish Tax Agency). The rest kontora leaves prepared and you file on the AEAT website, or your gestoría does.

  1. Prepared box by box

From your invoices, expenses and bank, kontora fills in every box (casilla) and explains where each figure comes from, in English, Spanish or Russian.

  2. The file, in the official record layout

For modelos 303, 111, 115, 123, 190, 180, 193, 347 and 349 you download the file in the AEAT's official record layout (diseño de registro).

  3. The calendar reminds you

Only the forms that apply to you, with a reminder ahead of each deadline that takes you to the form in kontora.

  4. You file from kontora, and it is archived

You review the draft and press "File": kontora sends it to the AEAT with your digital certificate and archives the official receipt. Forms that are not filed directly you file on the AEAT website with what kontora has prepared, and mark as filed. For the 303, the settlement entry is also posted and the period is locked.

  • A 303 showing a refund is also filed from kontora: before sending it, the app asks for the IBAN where you want the refund.
  • The 200 and the 202 are prepared on screen, and so is the 390, except the breakdown of deductible VAT by rate, which you check yourself. The 232 comes out as a draft in which you complete the valuation method before filing it.

Frequently asked questions

What does a small Spanish SL have to keep and file?
Double-entry books under the Plan General de Contabilidad, quarterly VAT (modelo 303) with its annual summary (390), withholdings when it pays professionals, rent or salaries (111 and 115), corporate tax (modelo 200, with the 202 instalments) and annual accounts approved by the shareholders and filed at the Registro Mercantil. This applies because the company is Spanish, wherever its owners live. The full map, with deadlines, is in our Spanish SL company tax guide. kontora prepares all of it except what comes from payroll: it does not run payroll, so if you have employees, their withholdings are worked out by your payroll adviser.
Does it keep double-entry books and the official ledgers?
Yes. Every operation is booked in double entry under the PGC, and that is where the journal, the general ledger, the trial balance and the VAT record books come from. For legalisation at the Registro Mercantil, kontora prepares the year's books and names them as the rules require; the final file is generated by Legalia 2, the registrars' own application, and you submit it yourself. How it works is in our guide to legalising your company books.
Does kontora prepare corporate tax and modelos 303, 111 and 115?
Yes, box by box. Modelo 200 comes from the year's books, with off-book adjustments, pending tax losses and your company's rate, and the 202 with its instalments. The 303, 111 and 115 come from each quarter's figures, and for those you can download the file in the AEAT's official record layout (diseño de registro), except when the 303 shows a refund. The 303, 111 and 115 you file from kontora with the company's certificate, by direct filing; the 200 and 202, prepared on screen, on the AEAT website, you or your gestoría. For a first idea, try the corporate tax estimator; modelo 200 is explained step by step in its guide.
Is kontora Verifactu compliant?
Yes. Every invoice issued from kontora carries its chained record with a fingerprint and its QR code, on every plan, and kontora publishes its declaración responsable, the legal way to state compliance. The date it applies to companies and the penalties, with the rule linked to the BOE, are in our guide what is Verifactu.
What about the annual accounts and filing them?
kontora prepares the annual accounts in the PYMES format (balance sheet, profit and loss and notes) and gathers the filing documents into a package you upload to the Registro Mercantil yourself. If your company exceeds the PYMES limits or must be audited, kontora warns you: accounts in the full (normal) format, or the audit report, are done outside the app. Deadlines and steps are in our guide to annual accounts of a Spanish SL.
Can I run several companies from one account?
Yes. You add each company (and your autónomo activity, if you have one) to the same account and switch between them from the company list. Each has its own books, returns and plan at list price, all in a single charge. What each plan includes is in the pricing comparison for companies.
Some shareholders live outside Spain. Does kontora cover that?
The company's books and returns, yes: they depend on the SL being Spanish, not on where its owners live. One limit you should know: dividends and interest paid to a shareholder who is not tax resident in Spain are reported on modelos 216 and 296, which kontora does not generate, so the app blocks those payments for that shareholder and warns you.
Can I export everything and keep working with my gestoría?
Yes. Your gestoría joins with the gestor role, without taking up a user seat, and works on the same data as you; their services and fees are agreed with them. The full export downloads all the company's data in one click, even after you cancel. No lock-in: pay monthly or yearly.
