Invoices that meet Spain's Verifactu rules

As an autónomo (self-employed in Spain), every invoice you issue gets its series, unbroken numbering and its Verifactu record with a QR code. If you bill a Spanish public body, kontora produces the signed Facturae 3.2.2 file for the FACe portal. Quotes turn into invoices in one click and, from kontora Autónomo Pro, recurring invoices are created for you as drafts.

If your work carries an IRPF withholding (retención: part of your Spanish personal income tax that your client keeps back and pays for you), you add it on the invoice and it flows into your books and your modelo 130.

Expenses and bank, without retyping

Supplier invoices and receipts come in through the inbox, which reads them and leaves them as draft expenses: the step-by-step is further down.

Bank movements come in with the norma 43 file (the standard statement format Spanish banks export) or a CSV, and reconciliation matches them to your invoices and expenses, with rules for whatever repeats every month.

Your Spanish tax returns, prepared box by box

From what you invoice and spend, kontora prepares modelo 303 (the quarterly VAT return, IVA in Spain) and modelo 130 (the quarterly IRPF prepayment) and, if you withhold tax from professionals or rent premises, modelos 111 and 115. Also the annual summaries (390, 190 and 180), the 347 information return, the 349 if you invoice clients in other EU countries, and a summary for your yearly income tax return (the Renta).

Your gestoría, inside the app

Many autónomos work with a gestoría (a Spanish tax and admin agency). Invite yours with the gestor role: they see your books and prepare the returns with you in the app, without taking up a user seat, and you can revoke access whenever you want.

Screens, explanations and support are in English; the official documents (invoices, tax forms and books) are generated in Spanish, as Spanish rules require. Your data stays yours: the full export downloads all of it in one click, even after you cancel.

Expense inbox

Snap the invoice and kontora gets the expense ready

The inbox reads your supplier invoices and receipts for you: you check what it read, fill in anything missing and approve it.

  1. Take a photo or upload the PDF

On your phone, the camera button opens the rear camera; on a computer, you drop in the PDF. It accepts PDF, JPG and PNG files up to 15 MB.

  2. kontora reads the details

The supplier and its NIF (the Spanish tax ID), the invoice number and date, the taxable base at each VAT (IVA) rate, the total and any IRPF withholding. From that it proposes the expense draft, with its supplier and its account. It is designed to leave blank whatever it cannot read clearly rather than guess it, and you check every detail before approving.

  3. You approve it and it is booked

If the draft is right, you press Approve and post: the expense is booked and the invoice is filed as its supporting document. If something does not add up, such as a total that does not match or a supplier you have not added yet, it tells you first; for a new supplier it prepares the record with the NIF and name it read.

  • Nothing is booked without your approval.
  • Upload the same invoice twice and kontora marks it as a duplicate.
  • Documents included each month: 50 on kontora Autónomo, 200 on kontora Autónomo Pro and 600 on kontora Autónomo Comercio. If you run short one month you can add a pack of reads, and going over never blocks new documents: they are stored unread and you get a notice.

Filing

Your returns, prepared box by box, and the file in the AEAT's record layout

kontora prepares your returns and you file them from kontora with your digital certificate: the 303, 130, 111, 115 and 123 by direct filing, and the 349, 347, 190, 180 and 193 through the TGVI channel of the AEAT (Spanish Tax Agency). The rest kontora leaves prepared and you file on the AEAT website, or your gestoría does.

  1. Prepared box by box

From your invoices, expenses and bank, kontora fills in every box (casilla) and explains where each figure comes from, in English, Spanish or Russian.

  2. The file, in the official record layout

For modelos 303, 130, 111, 115, 190, 180, 347 and 349 you download the file in the AEAT's official record layout (diseño de registro).

  3. The calendar reminds you

Only the forms that apply to you, with a reminder ahead of each deadline that takes you to the form in kontora.

  4. You file from kontora, and it is archived

You review the draft and press "File": kontora sends it to the AEAT with your digital certificate and archives the official receipt. Forms that are not filed directly you file on the AEAT website with what kontora has prepared, and mark as filed. For the 303, the settlement entry is also posted and the period is locked.

  • A 303 showing a refund is also filed from kontora: before sending it, the app asks for the IBAN where you want the refund.
  • The summary for your income tax return (Renta) is prepared on screen, and so is the 390, except the breakdown of deductible VAT by rate, which you check yourself.

Frequently asked questions

Do I need Verifactu-compliant invoicing software in Spain?
Yes, if you are an autónomo with business activity in Spain's common tax territory: Royal Decree 1007/2023 requires the software you invoice with to meet Verifactu. You are outside it if you are taxed in the Basque Country or Navarre, or if you keep your VAT books through the SII (the AEAT's immediate VAT reporting system). The date in force and the penalties, with the rule linked to the BOE, are in our guide Verifactu for autónomos, which we keep up to date. kontora invoices with Verifactu on every plan.
The AEAT forms are in Spanish. Can I really use kontora in English?
Yes. The screens, the explanation of every box (casilla) and support are in English. What goes to the AEAT or into your books is generated in Spanish, because that is what Spanish rules ask for, so you can see what each figure means before you file it.
Does kontora prepare modelo 303 and 130?
Yes. From the quarter's invoices and expenses, kontora prepares the 303 and the 130 (for the direct assessment scheme, estimación directa) box by box, with each box explained, and you can download the file in the AEAT's official record layout (diseño de registro), except when the 303 shows a refund. You file both from kontora with your digital certificate, by direct filing with the AEAT, and the receipt is archived; or your gestoría files them.
How do I issue an invoice with IRPF withholding?
When you create the invoice you add the withholding and its rate: as a general rule 15% for professional activities, or 7% in the year you register and the two following years, as long as you carried out no professional activity in the year before you registered. kontora deducts it from the amount your client pays and carries it to the withholding box of your 130. If you are not sure which rate applies, the withholding calculator explains it.
Can I import my bank movements?
Yes. Download the norma 43 file (also called cuaderno 43) or a CSV or Excel export from your bank, upload it to kontora, and the movements are ready to match against your invoices and expenses. You can add as many accounts as you have.
Can I move from spreadsheets or another program without losing my history?
Yes. Ask your gestoría, or export from your current program, the VAT record books (libros registro de IVA) in the AEAT's standard format and upload them: the year's issued and received invoices are loaded and your next 303 is visible from day one. Opening balances go in on the same screen.
Can my gestoría work in kontora with me?
Yes. From the settings you invite your gestoría with the gestor role: they see your books and can prepare your returns with you, without taking up a user seat. What they do for you and what they charge is agreed directly with them, and you can revoke their access at any time.
Is there a minimum contract?
No. You pay monthly or yearly and cancel whenever you want. The full export downloads all your data in one click, even after you cancel.
